Give your bookkeeper or accountant access to your books

Open this in Talisk HQ

Your bookkeeper or accountant can work in your books with their own TALISK_HQ login, so you never hand over your password and you can take access back at any time.

Invite them

  1. Go to Ledger, then Setup, and open the Shares tab.
  2. Press Invite Bookkeeper.
  3. Enter their email address. If your accountant or bookkeeper is in your directory, Choose from your directory fills it in for you. The list shows only people you have confirmed in Contacts, in the Directory, for the business you are working in, and it appears only while that is the book you are sharing.
  4. Choose the Book to share and the Access level:
    • View lets them read everything and change nothing;
    • Edit covers day-to-day bookkeeping: categorizing, reconciling, matching, and creating and correcting bills, invoices, expenses and transactions;
    • Full adds manual journal entries, including year-end ones, and book settings.
  5. Choose which email accounts linked to the book they can see, and which account the invite is sent from.
  6. Press Invite.

If they already have a TALISK_HQ account, they get access straight away and an email telling them so. If they do not, they get an invite to create one, which expires after two weeks. A pending invite shows on the page with Resend and Cancel.

Take access back

Each person with access is listed on the same page. Revoke access ends it immediately; their next click in your books is refused.

Share links

New Share Link makes a link instead of a login: whoever holds the link can view invoices, add notes and download packages for the date range you choose, at the level you choose, until it expires or you revoke it. Use a login invite when the person works in your books regularly.

Good to know: An invite gives one person access to one business's books. They sign in with their own Talisk account; nobody shares your password. View access cannot change anything; Edit and Full can, and Full includes manual journal entries and book settings. Revoking takes effect at once. Picking someone from your directory only fills in their address: the invite is sent the same way as one you type, and nothing goes out until you press Invite.
