Read a statement of account

Open this in Talisk HQ

A statement of account shows everything that happened on a client's account between two dates, with a running balance.

  1. Go to Invoicing › Clients and open the client.
  2. Click Statement.
  3. Pick the From and To dates and click Filter. The default is the start of this year to today.

What the balances mean

  • Opening Balance is what the client owed at the end of the day before the From date.
  • Closing Balance is what they owed at the end of the To date.

Both are worked out from the dates things happened, the same way your books date them. An invoice with a holdback counts in full: the held-back part is still owed, just not due yet. Dates are your book's own day.

A payment is dated the day the money was received, not the day it was recorded. Payments recorded before TALISK_HQ kept a received date use the day they were recorded. A payment received before its invoice's date shows on the day it was received, so the balance can dip below zero until the invoice date, which is what your books show too.

The lines

  • An invoice line (for example "Invoice #1042") is a charge for the invoice total. Drafts and quotes never appear.
  • Payment lines are money received against that invoice.
  • Credit applied is the client's customer credit used to pay the invoice.
  • Deposit applied is a deposit they paid up front, used against the invoice.
  • Written off relieves whatever was still owed when you wrote the invoice off as bad debt.
  • Cancelled clears a cancelled invoice on the date of its reversal in your books, which is normally the invoice's own date. So a cancelled invoice usually shows its charge and its Cancelled line on the same date. The date is later when the invoice's own period was already locked, or when the invoice had been written off and reinstated before you cancelled it.
  • If the client had paid part of an invoice before you cancelled it, that paid part stays owed on the statement from the invoice date until the day the payment was received, because that is what your books show. The Cancelled line then says paid moved to account credit, with the amount.
  • A Credit note line is for information only. The credit goes to the client's account and does not change the balance until it is applied to an invoice.
  • If a payment was more than the invoice had due at the time, only the amount due comes off the balance and the line shows the rest as over — credited to account. A holdback that was not yet due counts as not due, so paying it early shows as an amount over.

More than one currency

A statement is in one currency. If the client has invoices in more than one, a currency switch appears beside the dates; pick the currency you want. With no choice made, the statement uses the currency of the client's most recent invoice. A client who only ever invoiced in one currency sees no switch.

When the statement warns you

A warning above the figures names the invoices it cannot show correctly:

  • Payments missing. An invoice shows more as paid than its recorded payments add up to. The warning names each one, its date and how much is missing. The balance may be wrong until those payments are recorded. The CSV carries the same note.
  • Cancellation not in the books. An invoice is cancelled, but its cancellation was never posted, so your books still show it as owed. The statement and your books disagree for those invoices; the warning names each one, its date and its total.

Download CSV

Download CSV saves the statement you are looking at, in the same currency and for the same dates, with a column for any notes on a line.

Good to know: The statement lists invoices and what relieved them: payments, customer credit and deposits applied, write-offs and cancellations. It does not show the client's customer credit balance itself; a credit note, an overpayment's excess, or the note that a cancelled invoice's paid part moved to account credit is printed for information and does not change the balance. A cancelled invoice is cleared on the date of its reversal in the books, normally the invoice's own date, so cancelling an invoice can change a statement for an earlier period. A statement is in one currency at a time and never adds two currencies together. A write-off that was later reinstated shows as never written off, even for a period in which it was. The download is a CSV, not a PDF.
